Getting to Policies: ADMINISTRATION --> POLICIES --> Application/Leasing

  • Approval Checklist:
    • When doing approvals within the application each company is unique in terms of requirements they look for. Example: Call References, Check Attached Documents, etc. Use this Policy to configure your unique Checklist for your company along with the drop-downs
  • Background Check:
    • Use this to set up your Credit Check and Background Check Criteria. 
  • Documentation:
    • Every Company is unique in terms of the Documents they require during the Application process. Use this Policy to set the various wording and criteria fitting to your corporate policy
      • Required IDs: Set How many IDs are Required, as well as What are the types of IDs allowed (ie Drivers License). Finally, you can add another setting making various ID's MANDATORY, PREFERRED or OPTIONAL
      • Employment: Set the wording for each Income source for the Proof of Income document you are looking for. You can set proof of income as Mandatory or not
      • Income: This refers to "other" income sources. Set the wording for each Income source for the Proof of Income document you are looking for. You can set proof of income as Mandatory or not
      • Assets: Set the wording for each Asset source for the Proof of Asset document you are looking for. You can set proof of Asset as Mandatory or not
  • Lease Agreement:
    • Use this to set up the LEASE Agreement wording and layout. You may also want to make sure that the Integration is set up properly for Yardi users by looking at this article
      • Agreement Step: Enter your legal wording here. For best results we recommend using one "box" per paragraph. The system will automatically add the numbering for each paragraph. You are able to add SIGNATURE requirements for each legal box. Ie., based on your preference you can force that the Tenant must sign: Full Name, Initial, Press Agree Box, Press Agree Box and Sign Full Name or Nothing. 
      • Confirmation Step: This step is after signing the Lease Agreement. It is recommended to add something around your Privacy Policy and Digital Signatures in this section. You are able to add SIGNATURE requirements for each legal box. Ie., based on your preference you can force that the Tenant must sign: Full Name, Initial, Press Agree Box, Press Agree Box and Sign Full Name or Nothing. 
  • Lease Application:
    • Use this to set up the Application Agreement wording and layout. You may also want to make sure that the Integration is set up properly for Yardi users by looking at this guide

        • You will also need to configure the legal wording based on ROLE. Ie, you may want to have different wording for Guarantors than you would for applicants.

        • You will also need to configure the legal wording based on ROLE. Ie, you may want to have different wording for Guarantors than you would for applicants. 
  • Online Availability:
    • Unit Availability Span: In order to avoid a unit to be rented out too far in advance the UNIT AVAILABILITY SPAN sets the parameters of what units to show as Available. Example: If a Tenant is looking to rent an apartment in 180 days from today and there is a vacant unit available today. Are they allowed the rent that unit? The Unit Availability Span limits the exposure to days allowed to rent in advance
    • Max Exact Match Units: When a Tenant uses the search criteria (ie 2 bedroom, 2 bath) this will limit the Prospects to X number of units to be shown. 
    • Max Partial Match Units: When a Tenant uses the search criteria (ie 2 bedroom, 2 bath) and there are no units available do you want to show them alternatives? This will limit the Prospects to X number of units to be shown as Partial Matches.
    • Fee Payment: If a FEE is collected this is where the settings need to be set. They can be set on APPLICATION, PER PERSON, or NONE. 
    • Fee Amount: IF a Fee is to be collected, this is where you would enter the amount to be collected.
  • Legal Questions:
    • In this section you can Enable and Customize the Questions to be asked on the Application process. 
  • Restrictions:
    • In this section you will need to set the restrictions for the Application process
      • Occupation: Here you can limit the number or occupants per bedroom as well as parking, lockers and pets. Based on the numbers entered here the Online Application will not allow to go past these settings.
      • Age of Majority: Here you can set the legal age of majority (ie. 18) and if you want to enforce it. 
        • Matured Occupants are Applicants: If you require your Occupants to be a lease holder if they are age of majority you can set this with this policy
      • Financial
        • Guarantors are optional: If you do not require Guarantors ever you can set this option with this policy
        • Min Employment Duration: When collecting employment data the system can prompt for previous employment or additional employment data based on the requirements. Set the Min Employment Duration here (ie. 12 months)
        • Max Number Of Employments: Set the limit for how many employment backgrounds you require to reach the Min Employment duration. (We recommend capping it at 2)
      • Miscellaneous
        • Years To Forcing Previous Address: When asking for current address the system can force previous address if living there less than X
        • Emergency Contacts Is Mandatory: To Enforce Emergency Contacts as a Mandatory field select this policy
        • Emergency Contacts Number: To Select HOW MANY Emergency Contacts are required enter a number here
        • Reference Source Is Mandatory: To track how did they hear about you select this policy to enforce the Reference Source
